Event badges are used at global fairs, trade exhibitions, medical conferences, academic events, corporate meetings, product launches, brand activations, business networking programs, social events, production events, advertising campaigns, promotions and entertainment programs.
They are also useful during public and cultural festivals such as Ganesh Chaturthi and Navratri, where organizers may need to identify committee members, volunteers, performers, vendors, guests and authorized service teams. The pass design and access rules should match the scale, venue and safety plan of the event.
An event badge identifies a role within a specific event; it is not a government identity card, permanent press credential or automatic permission to enter every area.
The event owner or authorized management team. Organizer access may cover planning, control rooms and operational areas defined by the venue.
Staff cards identify paid operational teams, while volunteer cards identify people assigned to specific support duties, shifts or zones.
Guest passes provide attendee access. VIP passes identify invited guests who receive only the hospitality or access privileges approved by the organizer.
Media passes identify approved reporters, photographers or production teams. They do not automatically permit backstage access, recording or entry into restricted areas.
These passes are issued to stall operators, suppliers and service providers and can be limited to assigned setup times, halls, stalls or service entrances.
Attendee badges identify registered participants and may show a conference track, company, institution or ticket category without granting staff privileges.
The organizer must define every category, colour and access permission. A printed category label alone should never override venue security or the approved access list.
An event card may include the event name, start and end dates, venue, time, attendee name, photograph, contact information, company or institution, category, pass number and sponsor name or logo. Keep the most important identification and access details large enough to read quickly.
The event name explains which program the pass belongs to. The date, time and venue show when and where it is valid, while the category tells security and staff what role the holder has. The expiry should be explicit, especially for a multi-day event or setup crew that needs access before public opening.
A single-day pass is valid only on its printed date and can help manage large crowds, day-specific tickets or rotating attendees. A multi-day pass covers the stated event period and is commonly issued to organizers, staff, exhibitors, stall operators and vendors who need repeated entry. For long events, the organizer may add a daily colour, sticker, scan status or date check.
A QR code can open an approved event page, registration record, digital catalogue, PDF brochure, schedule, product presentation or video. It gives attendees access to more information without filling the badge with small text. A barcode can carry a pass number or registration reference for a compatible scanning system.
Every code should be tested on the final printed proof. Use a stable destination, protect attendee data and do not put confidential information into a publicly readable QR code or barcode. A printed code does not create a secure verification system by itself; access control also requires an approved database, scanner workflow or manual list.
Event passes can be produced using PVC sheet or PVC fusing lamination sheet, depending on the required finish, durability and budget. Paper or suitable synthetic sheets may also be considered for events where a lighter or short-term pass is appropriate. For events using a clear pouch or badge holder, check the insert dimensions and material compatibility before finalizing the design.
A large vertical event badge measuring around 85 × 130 mm (8.5 × 13 cm) can provide space for the attendee name, event category and sponsor branding. This is one possible event badge format, not a universal standard. The required size depends on the badge holder, insert dimensions and event design. Measure the usable opening of the holder before finalizing the artwork, and check that important text remains visible after insertion.
Satin lanyards in widths such as 20 mm or 24 mm provide good space for digital printing of event names, logos and sponsor artwork. Cotton and other lanyard options may also be selected according to budget and expected use.
Sequential numbers help organizers issue, replace and account for passes. Numbers alone do not prove how many people attended; accurate attendance requires an issue register, entry scan, check-in record or another controlled counting method.
Colour-coded categories help staff distinguish organizers, volunteers, attendees, VIPs, media and vendors from a distance. Use a clear text label along with colour so the system remains understandable in poor lighting and for people with colour-vision differences. Categories should represent roles and access levels, not replace security verification.
A public or free generator normally uses a fixed template with limited changes. A custom event generator can use the approved event logo, sponsor branding, colours, font, category rules and selected attendee fields. It is useful when authorized staff need to create passes quickly while keeping one consistent design.
A dedicated public event generator or downloadable event PSD is not currently included on this page. Contact IDCard99 if your event requires a custom card design, generator or bulk printing workflow.
Organize attendee names, companies, categories, pass numbers, validity and other approved fields in consistent Excel columns. Save a working copy before exporting the required sheet to CSV. Photographs should use predictable file names that match a unique registration or pass number.
For bulk badge production, prepare a master design with clearly named text and image layers. If using Adobe Photoshop variables and data sets, configure the text-replacement and pixel-replacement variables according to the software version and its supported import format. Match each field to the correct data column and each photograph to the intended attendee record. Test a small sample first, checking names, categories, pass numbers, photographs and special characters before processing the full batch.
Proof checking reduces errors but does not guarantee that every mistake in source data will be detected. The event organizer remains responsible for approving attendee details, categories and access permissions.
IDCard99 does not knowingly create fake, misleading or unauthorized VIP, media, press, staff, government or event passes. Orders must come from the event organizer or an authorized representative. A pass must not imply access, accreditation or authority that the organizer has not granted.
The printed validity ends on the stated date and time. When the event finishes, the organizer should deactivate associated QR or barcode records, close registration access, collect reusable cards where practical and instruct security not to accept expired passes. Cards containing personal information should be stored or disposed of according to the event privacy policy.
Event cards, holders and printed lanyards can be supplied locally in Ahmedabad and shipped to serviceable locations in Gujarat and across India. Courier or delivery charges are additional and depend on destination, quantity, parcel size and selected service. Allow enough time for proof approval, production and delivery before the event date.
Common details include the event name, date, venue, attendee name, category, pass number, validity and approved sponsor branding. A photo or QR code can be added when needed.
Each category identifies a role and access level set by the organizer. VIP, media or vendor text does not automatically grant unrestricted access.
