Share the card type, estimated quantity, final size, vertical or horizontal orientation, one-side or double-side printing, required date and delivery location. Mention whether the order also needs a holder, plain lanyard, printed lanyard, hook fitting or packing.

For employee or student cards, explain how the variable data will be supplied. A structured Excel file and correctly named photo folder are easier to process than separate messages. Also tell the printer whether you have an approved design or need a new design and proof.

RFID, NFC and access cards require additional information, including frequency, chip type, existing reader or software and encoding requirement. A normal printed PVC card should not be quoted as though it were the same product as a compatible smart card.

Main Factors That Affect PVC Card Cost

1. Quantity and repeat batches

Design setup and production preparation are shared across the order, so a larger quantity often has a lower cost per card than a very small batch. Our requirements can range from approximately 20 cards for a small school to 1,000 or 2,000 cards for a regular institutional order, and 5,000 or more for a multi-branch organisation.

After a bulk order, an existing customer may need only 10 or 20 cards for new students or employees. Sometimes even one card is required. We try to reproduce these small repeat requirements from the saved approved design when the same or a comparable material remains available, but the per-card economics cannot be the same as a large production run.

2. Card material and finish

Normal printed PVC cards, RFID cards, NFC cards and chemical cards are not interchangeable products. Glossy or matt appearance, printing method, embedded chip and antenna, resin work and expected life all affect material and labour. The correct product should be selected for the actual use rather than only the lowest initial rate.

3. Front-only or front-and-back artwork

A double-side card provides space for an address, instructions, emergency details, QR code or terms, but it also requires back-side design and printing. The quotation should state clearly whether both sides are included.

4. Personalised data and photographs

A card with the same design and different names, photos, codes and dates needs data preparation and checking. Poorly organised files take longer and create more correction risk. Missing employee codes, inconsistent spreadsheet columns and mismatched photo filenames should be corrected before final production.

5. Design and proof revisions

A supplied print-ready design needs a different amount of work from a new custom layout. Logo cleanup, photo placement, field planning and repeated colour or font revisions require design time. A proof is still important even when the customer supplies the artwork.

6. Holders, lanyards and fittings

The card may be only one part of the finished requirement. PVC, plastic, leather or metal holders have different prices. Cotton lanyards are commonly used for economical single-colour screen printing, while satin lanyards support multicolour digital printing. Width, hook type, logo repetition and fitting labour all affect the final quotation.

7. Packing and delivery

Ahmedabad orders may be collected, delivered by an arranged local porter or sent by courier. Outside orders are normally dispatched by courier. These charges depend on parcel size, weight, destination and service and are additional unless the quotation states otherwise.

Why We Do Not Publish a Universal Price Table

Material purchase rates and courier charges can change. More importantly, a table cannot know whether the customer needs a normal card, chip card, holder, printed lanyard, data entry, design work or urgent production. An old price table can quickly become inaccurate and may encourage customers to compare different products as though they were identical.

For this reason, this guide explains the cost structure instead of displaying invented or outdated per-card figures. A written quotation based on the current specification is the reliable price for an actual order.

Proof Checking Can Prevent Expensive Reprinting

Price is not only the amount paid before printing. A missed spelling error, wrong photograph or incorrect birth date can make a completed card unusable. For a school order of more than 1,500 cards, we organised the supplied Excel data and photographs class by class and prepared PDF proofs. The school printed those proofs, teachers marked corrections in red and the corrected records were checked again before final production.

This stage takes time, but it is normally less costly than reproducing hundreds of cards. The authorised organisation should check names, photographs, numbers, dates, contact details, QR codes and the approved layout.

Normal and Urgent Production

A typical order may take approximately 10 to 15 days after final proof approval, depending on quantity, material, fitting and finishing. Some suitable requirements can be completed in 3 to 5 days. An urgent event or company order is accepted only when the quantity, material and workload make the deadline realistic; some suitable urgent jobs may be possible from the following day or within two to three days.

Urgency should be discussed before paying an advance. We prefer to decline an impossible deadline rather than accept an order that cannot be completed responsibly.
